Privacy Policy

This policy explains what we collect, how we use it, and how you control it. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws. If anything here is unclear, email support@underdogcreativesolutions.com and we'll explain in plain English.

Who we are

Underdog Creative Solutions Inc. is a Saskatchewan-incorporated company headquartered in Saskatoon. We build the AI Receptionist, websites, and content services described elsewhere on this site. References to "we", "us", and "our" mean Underdog Creative Solutions Inc.

Information we collect

Account and contact info — your name, business name, email, phone number, billing address, and the role you hold at your business.

AI Receptionist call data — when a caller dials a number routed through our service, we receive the audio of that call and create a transcript. We also store call metadata (caller number, time, duration, outcome) and any structured data the AI captured (name, address, requested service, appointment time).

Calendar and scheduling data — when you connect Google Calendar, Microsoft 365, Calendly, Jobber, Housecall Pro, or another scheduling tool, we read availability and write bookings on your behalf, only for the calendars you authorize.

Website and content service data — content briefs, brand assets, login credentials you share for publishing, and analytics from your site.

Site usage data — IP address, browser, device, pages visited, and referrer when you use this website. This is collected via standard server logs and privacy-friendly analytics.

How we use it

Deliver the service — answer calls, book appointments, send confirmations and reminders, publish content, and operate your website.

Operate and improve — we review aggregated and anonymized call patterns to improve voice quality, intent recognition, and routing logic. We do not sell your call audio or transcripts.

Billing and support — to invoice you, respond to support requests, and meet our legal and accounting obligations.

Service communications — onboarding emails, status updates, and product changes that affect your account. You can opt out of marketing email at any time; you cannot opt out of essential service email while you remain a customer.

Call recordings, transcripts, and AI processing

Calls answered by the AI Receptionist are recorded and transcribed so the AI can understand the caller and so you can review what happened. We disclose recording in the AI's greeting where required by law; you are responsible for ensuring the greeting and any additional disclosure complies with the laws of the jurisdictions your callers are dialing from.

Audio and transcripts are processed by trusted speech-to-text and large-language-model providers (currently including providers operated by OpenAI and similar AI infrastructure vendors) under data-processing agreements that prohibit them from using your data to train their general-purpose models.

By default, call audio is retained for 90 days and transcripts for 24 months so you can review history and we can troubleshoot. Retention windows can be shortened on request.

Sharing your information

Service providers — we use vetted subprocessors for hosting (cloud providers in Canada and the United States), telephony (call routing and SMS), AI inference, payments, and email delivery. Each is bound by contract to protect your data and use it only to deliver the service.

With your direction — we send booking and contact data to the calendar, CRM, and dispatch tools you connect.

Legal — we may disclose information when required by law, court order, or to investigate fraud or threats to safety.

Business transfers — if we're ever acquired or merged, customer data transfers under the same protections as this policy. We'll notify you in advance.

We never sell your personal information.

Where your data lives

We host on Canadian and United States cloud infrastructure. By using the service you consent to your information being processed in those jurisdictions, where it may be subject to lawful access requests by foreign governments.

Security

We use TLS in transit and encryption at rest for call audio, transcripts, and account data. Access to production systems is restricted to staff who need it, behind multi-factor authentication. No system is perfect — if a security incident affects your data, we will notify you and the appropriate regulator without undue delay, as required by law.

Your rights

You can ask us to access, correct, export, or delete the personal information we hold about you and your callers, subject to limits the law places on us (for example, billing records we must keep for tax purposes).

Email support@underdogcreativesolutions.com with the subject "Privacy request" and we'll respond within 30 days. If you're not satisfied with our response you can contact the Office of the Privacy Commissioner of Canada (priv.gc.ca).

Cookies

This site uses a small number of cookies for essential functionality (session, security) and aggregated analytics. We do not use third-party advertising cookies. You can disable cookies in your browser; some site features may stop working if you do.

Children

The service is for businesses, not children. We do not knowingly collect personal information from anyone under 16. If you believe we have, contact us and we'll delete it.

Changes to this policy

We update this policy as the service and the law change. The "last updated" date at the top reflects the most recent revision. Material changes will be communicated by email to active customers before they take effect.
